GainFound
How it works

A review of your records,
then clear next steps.

A GainFound review compares what was agreed, what was done and what was billed, and shows where work slowed down. We carry it out for you using GainFound, and you get findings your team can check and act on.

The steps

  1. 01

Intro call · free, 30 minutes

We talk through how you quote, deliver and invoice work, which systems and spreadsheets you use, and where you suspect value is slipping. If a review isn’t likely to be worth it, we’ll say so.

  2. 02

    Scope and fixed fee

We agree which part of the business and which period to look at (often the last 6 to 12 months), the records needed and a fixed fee, all in writing before anything starts.

  3. 03

    You share the records

Exports you already have, sent through a secure link. No access to your live systems is needed and nothing is installed.

  4. 04

    We review and match

Records are lined up job by job. Gaps are checked by a person before they become findings, and each one is given its evidence, an estimated value or time impact, and a suggested owner.

  5. 05

    Findings walkthrough

We take your team through the findings and the management summary. You decide what to invoice, raise with a customer, change or dismiss.

  6. 06

    Monthly follow-up · optional

GainFound can keep reviewing new records each month, tracking each finding from potential to approved, invoiced and collected, and measuring whether process changes worked.

The records we use

Exports you already have.

Spreadsheet or CSV exports are ideal. PDFs are fine for contracts and quotes. The more of these we have, the more we can check.

  • Contracts, quotes or proposalsWhat was agreed: scope, price, rates and terms.
  • Job or project recordsJobs, stages and completion dates from your job system or tracker.
  • Timesheets and labourHours booked against each job, by person or role.
  • Change and variation recordsInstructions, revisions and approved extras.
  • Invoice and payment exportsFrom Xero, QuickBooks, Sage or your own system.
What you receive

Findings your team can act on this week.

A findings list

Every opportunity with its evidence, estimated value or time, a suggested owner and a next action. Supplied as a report and a spreadsheet.

A management summary

One page for the board or owners: potential, approved and collected kept separate, the efficiency picture and three priorities.

A walkthrough

A session with the people who will act on it, so nothing gets lost between the report and the invoice.

Questions

Common questions

What does a review cost?

A fixed fee agreed in writing before we start: £1,950 for a Focus review, £3,950 for a Standard review, and from £6,950 for larger businesses, plus VAT. If a review finds less than twice its fee in potential revenue, you pay half. See pricing.

How long does it take?

It depends on how many jobs and records are involved. We agree a timescale with you upfront, once we know what records you have.

Do you need access to our systems?

No. We work from exports and documents you send us. We never log in to your accounting or job systems.

Our records are messy. Is that a problem?

That’s normal. Part of the review is showing where records are missing, for example jobs with no scope document or timesheet, because those gaps are often where value is lost.

Will you chase our customers for us?

No. We find and evidence the opportunities. Your team decides which to pursue and handles the customer conversation.

Is the GainFound software available to use ourselves?

The monthly GainFound workspace is in development and is offered to review clients first. If you’d like to hear when it opens more widely, mention it when you get in touch.
